2. What information we collect

The personal information we collect depends on how you interact with us.

It may include:

  • your name;

  • email address;

  • telephone number;

  • postal address;

  • information you provide when making an enquiry;

  • details about the products or services you are interested in;

  • information relating to appointments, surveys, quotations, orders, installations or servicing;

  • records of communications between you and Stairlift Solutions;

  • your communication and marketing preferences;

  • information about how you interact with our emails or SMS communications, where the relevant functionality is used;

  • information generated when you use our website, such as your IP address, browser type, device information, referral source, pages viewed and other website usage information; and

  • any other information you choose to provide to us.

Please avoid providing personal information about another person unless you have their permission or it is otherwise appropriate for you to do so.

3. How we collect your information

We may collect information directly from you when you:

  • contact us by telephone, email, SMS or through our website;

  • complete an enquiry or contact form;

  • request a quotation or home survey;

  • purchase a product or service;

  • visit one of our showrooms;

  • communicate with our staff;

  • subscribe to marketing communications;

  • respond to an advertisement or promotion;

  • leave a review, provide feedback or participate in a referral scheme; or

  • otherwise interact with Stairlift Solutions.

We may also receive information through third-party platforms that you have chosen to use to contact us, such as advertising platforms, lead-generation services or social media platforms.

We may collect website usage information through cookies and similar technologies, subject to your cookie choices.

4. How we use your information

We may use your personal information for the following purposes.

Responding to enquiries

We use your information to respond to questions, provide information about our products and services, arrange home surveys or showroom appointments and prepare quotations.

Our lawful basis will normally be taking steps at your request before entering into a contract or our legitimate interests in responding to enquiries and operating our business.

Providing products and services

We use personal information to process orders, arrange installation, delivery, servicing and aftercare, administer warranties and provide customer support.

Our lawful basis will normally be the performance of our contract with you.

Managing our customer relationships

We may maintain records of previous enquiries, purchases, installations, servicing, communications, product interests and other interactions with Stairlift Solutions.

This helps us provide appropriate customer service, maintain accurate records and understand our relationship with you.

Our lawful basis is normally the performance of a contract and/or our legitimate interests in managing our business and customer relationships.

Contacting you about appointments and services

We may use email, telephone or SMS to provide service-related communications, such as appointment confirmations, survey information, installation updates, servicing information or other communications relating to an enquiry or purchase.

These communications are not treated as marketing where their purpose is to provide information necessary to fulfil an enquiry, contract or service.

Improving our website, products and services

We may analyse how people use our website and interact with our services in order to improve website performance, customer experience, marketing and our range of products and services.

Where this involves non-essential cookies or similar technologies, we will obtain consent where required.

Preventing fraud and protecting our business

We may process information where reasonably necessary to protect our systems, customers, staff, property and legal rights, prevent fraud or misuse, and establish, exercise or defend legal claims.

Our lawful basis is normally our legitimate interests and, where applicable, compliance with our legal obligations.

5. Marketing communications

We may use your contact details to send information about Stairlift Solutions products, services, offers and other information that we believe may be relevant to you.

Marketing may include communications by:

  • email;

  • SMS;

  • telephone; and

  • other electronic communication channels where appropriate.

We will only send electronic marketing where we have an appropriate legal basis to do so.

Depending on the circumstances, this may be because:

  • you have specifically consented to receive marketing from us; or

  • you are an existing customer, or have previously enquired about similar products or services, and the law allows us to contact you under the existing-customer or “soft opt-in” rules.

Where we rely on legitimate interests, we consider whether the marketing is proportionate, relevant and something you could reasonably expect.

You can ask us to stop marketing to you at any time.

You can do this by:

  • using the unsubscribe link contained in our marketing emails;

  • following the opt-out instructions contained in an SMS where available; or

  • contacting us at info@stairliftsolutionsni.com.

If you opt out, we may retain limited information about your preference on a suppression list so that we can ensure we do not contact you again for that type of marketing.

Opting out of marketing will not prevent us from sending necessary service-related communications concerning an enquiry, order, installation, warranty, service or other ongoing relationship with you.

6. Brevo

We use Brevo as a customer communication and marketing platform.

Brevo may be used to help us:

  • manage contact information;

  • organise contacts into relevant customer or product-interest groups;

  • send email communications;

  • send SMS communications;

  • manage marketing preferences and unsubscribe requests;

  • automate appropriate customer communications; and

  • understand engagement with communications, where applicable.

Information processed through Brevo may include your:

  • name;

  • email address;

  • telephone number;

  • communication preferences;

  • product or service interests;

  • enquiry or customer status;

  • information relevant to previous communications with us; and

  • information about interactions with marketing communications where this functionality is used.

Brevo acts as a data processor when processing this information on our behalf.

We do not currently use Brevo’s website visitor identification functionality to identify individual visitors browsing the Stairlift Solutions website.

If this changes in the future, we will update this privacy policy and our cookie information as appropriate.

7. Sharing your information

We do not sell your personal information.

We may share personal information with organisations that help us operate our business or provide our services.

These may include:

  • customer relationship management and business-management systems;

  • email and SMS communication providers, including Brevo;

  • website hosting and technology providers;

  • analytics providers;

  • advertising and social media platforms where appropriate;

  • payment providers;

  • delivery, installation or service providers where required to fulfil your order;

  • professional advisers such as accountants, insurers or legal advisers;

  • IT and cybersecurity providers; and

  • government bodies, regulators, courts or law-enforcement authorities where we are legally required to do so.

Where another organisation processes personal information on our behalf, we require it to handle that information appropriately and only for the agreed purposes.

Some third-party platforms may act as independent data controllers for information they receive. Their own privacy policies will apply to their processing.

8. International transfers

Some of the service providers we use may process personal information outside the United Kingdom.

Where personal information is transferred internationally, we take appropriate steps to ensure that the transfer is made in accordance with UK data protection law.

This may include relying on:

  • UK adequacy regulations;

  • approved contractual safeguards; or

  • another lawful international-transfer mechanism.

9. How long we keep your information

We keep personal information only for as long as reasonably necessary for the purposes for which it was collected.

The appropriate retention period depends on the type of information and our relationship with you.

For example, we may retain:

  • enquiry information for a reasonable period so that we can respond to and follow up enquiries;

  • customer, sales, installation, warranty and servicing records for as long as they may reasonably be required for customer service, warranty, legal, tax, accounting or regulatory purposes;

  • marketing records while you remain subscribed or while we otherwise have an appropriate basis to contact you;

  • unsubscribe and suppression information for as long as necessary to respect your marketing preferences; and

  • information required for legal claims for as long as reasonably necessary in view of applicable limitation periods.

We periodically review the information we retain and delete or anonymise information where it is no longer required.

10. Security

We take appropriate technical and organisational measures to protect personal information against:

  • unauthorised access;

  • accidental loss;

  • misuse;

  • alteration;

  • disclosure; and

  • destruction.

Access to personal information is limited to people and service providers who need it for legitimate business purposes.

No internet-based system can be guaranteed to be completely secure, but we take reasonable measures to protect the information entrusted to us.

11. Cookies and similar technologies

Our website uses cookies and similar technologies.

Cookies are small files or pieces of information stored on or accessed from your device when you use a website.

Some cookies are necessary for the website to function properly.

Other cookies and similar technologies may be used for purposes such as:

  • remembering preferences;

  • measuring website usage;

  • understanding website performance;

  • improving our services;

  • measuring advertising performance;

  • creating advertising audiences; and

  • showing relevant advertising to people who have previously interacted with our website or marketing.

Where cookies or similar technologies are not strictly necessary, we will ask for your consent before using them where required by law.

You can manage your choices through the cookie controls made available on our website.

You can also change cookie settings through your browser, although blocking some cookies may affect how the website works.

12. Google Analytics

We use Google Analytics to help us understand how visitors use our website.

Google Analytics may collect information such as:

  • pages visited;

  • approximate location;

  • device and browser information;

  • referral source;

  • interactions with the website; and

  • the time and duration of visits.

We use this information to measure and improve website performance and understand how people find and use the Stairlift Solutions website.

Google Analytics uses cookies and similar technologies.

Where consent is required, Google Analytics will only be activated after you have provided the appropriate consent through our cookie controls.

13. Advertising, remarketing and social media platforms

We use online advertising platforms, which may include Google Ads and Meta platforms such as Facebook and Instagram, to promote Stairlift Solutions.

Subject to your cookie and privacy choices, these platforms may use cookies, pixels, tags or similar technologies to help us:

  • measure the performance of our advertising;

  • understand whether advertisements lead to website visits, enquiries or other actions;

  • create advertising audiences based on interactions with our website or marketing;

  • show relevant advertisements to people who have previously visited our website or interacted with Stairlift Solutions;

  • exclude certain existing customers or audiences from particular advertising where appropriate;

  • create broader audiences of people who may have similar characteristics or interests to existing customers or website visitors; and

  • improve the relevance and effectiveness of our advertising.

This may involve information about your device, browser, website activity and interactions with our advertisements being shared with or processed by the relevant advertising platform.

We may also use information we already hold about customers or prospective customers to create or manage advertising audiences where we have an appropriate legal basis to do so.

For example, this may involve providing contact information such as an email address or telephone number to an advertising platform so that it can determine whether that person has an account with the platform and include or exclude them from a relevant advertising audience.

Where customer information is provided to an advertising platform for this purpose, we take appropriate steps to protect that information and use the platform’s available privacy and security controls.

Google and Meta may process information they receive as independent data controllers in accordance with their own privacy policies.

Where advertising technologies store information on, or access information from, your device, they will only be used where the required consent has been provided through our cookie controls.

You can change or withdraw your cookie choices at any time using the cookie controls available on our website.

These rights are subject to certain legal conditions and exemptions.

Your right to object to the use of your personal information for direct marketing is absolute. If you ask us to stop using your information for direct marketing, we will do so.

If we rely on consent, withdrawing your consent will not affect processing that took place before the withdrawal.

To exercise your rights, contact us at:

info@stairliftsolutionsni.com

We may need to verify your identity before dealing with certain requests.

15. Complaints

If you have concerns about how we handle your personal information, please contact us first so that we have an opportunity to investigate.

You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator.

Information about how to make a complaint is available on the ICO website.

We are not responsible for the privacy practices of those websites.

You should review the privacy information provided by the relevant third party before providing personal information to them.

17. Children’s information

Our products and services are not directed specifically at children.

If we need to process information relating to a child in connection with an enquiry or service, we will only do so where appropriate and in accordance with applicable data protection law.
